n8n vs Make vs Zapier: Which Automation Tool Is Right for Your Hospitality Business?

Short answer
Choose Zapier for quick, simple automations your team can maintain alone. Choose Make for visual, multi-step workflows at a lower cost per step. Choose n8n for complex, AI-heavy or high-volume workflows, or when you want to self-host for cost and data control. Most hospitality businesses running AI agents end up on n8n, often with a few Zapier or Make flows alongside.
The short answer
| Zapier | Make | n8n | |
|---|---|---|---|
| Best for | Simple, quick automations | Visual multi-step workflows | Complex, AI-heavy, high-volume |
| Ease of use | Easiest | Moderate | More technical |
| Pricing model | Per task | Per operation / credit | Per workflow execution, or self-host |
| Cost at high volume | Highest | Medium | Lowest |
| Self-hosting | No | No | Yes |
| AI agent building | Good | Good | Strongest |
| Integrations | Largest library | Large library | Large library + any API |
Pricing changes often. Check each vendor’s current pricing page before deciding — the models above are what matter.
When should a hospitality business choose Zapier?
Zapier is the fastest way to connect two apps. If you want new website enquiries to land in a Google Sheet and ping a Slack channel, Zapier does it in minutes and anyone on your team can maintain it. It becomes expensive when volume grows, because every action in every run counts as a task.
When should you choose Make?
Make gives you a visual canvas with branching, loops and data transformation, at a lower cost per step than Zapier. It suits operations teams that want to see and tweak their workflows — for example, routing event enquiries to different coordinators by venue and date, then creating tasks and calendar holds.
When should you choose n8n?
n8n is built for complex logic and AI. It has native AI agent nodes, lets you write code where needed, connects to any API, and can be self-hosted — which keeps guest data on your own infrastructure and makes high volumes much cheaper. Because pricing is per workflow execution rather than per step, a 20-step booking workflow costs the same as a 2-step one.
For AI lead response agents, proposal generation and multi-channel guest messaging, n8n is usually the strongest choice.
What about data protection?
If you handle guest data for UK or EU customers, you need to know where it is processed. Zapier and Make are cloud services with their own data-processing terms. Self-hosted n8n lets you choose the server location and keep data in your own environment. Whichever you choose, use official integrations and minimise the personal data each workflow touches.
Our recommendation
- Fewer than ~1,000 automation runs a month and simple flows: Zapier.
- Operations-heavy workflows your team wants to edit visually: Make.
- AI agents, high volume, complex logic or data control: n8n.
You don’t have to pick just one. Many of our clients run their AI agents and core booking flows on n8n, and keep a few simple Zapier automations their team set up themselves.
